full time Assistant to Executive General Manager (Grand Villa Casino, Burnaby, BC)

Reporting to the Executive General Manager, the Assistant will provide confidential administrative and secretarial support. This will include preparing correspondence, reports and presentations, developing and administrating office systems and maintaining filing and databases.

As a self starter operating in an environment of time pressures and changing priorities, the incumbent will follow through and track projects and will serve as the primary point of contact on behalf of the Executive General Manager with customers, regulators and internal staff. This role will also act as a support function to the executive leadership team, as well as for special projects from time to time.

Key Responsibilities
1. Coordinates the Executive General Manager's calendar by booking appointments, preparing for activities, and ensuring completion of the required arrangements.
2. Monitors paper flow, deadlines and projects to ensure required dates are met.
3. Manages uniform and locker inventory for all casino employees.
4. Coordinates specific project tasks, functions, and presentations. Liaises with other sites.
5. Takes initiative to resolve problems and provides information internally, externally and to regulators and contactors.
6. Monitors expenses, prepares purchase orders, and processes invoices.
7. Produces documents using word processing, spreadsheet, presentation and publication software.
8. Ensures meeting facilities are arranged by booking required space, equipment & materials, catering and seating arrangements. Arranges, coordinates, takes, and distributes minutes. Arranges travel.
9. Prepares documents including correspondence, forms and reports, in draft and final. Under takes filing.
10. Screens incoming calls or requests by: assisting, when appropriate; forwarding to appropriate person or taking messages.
11. Performs other related duties as required.

What You Will Require
• 2 years experience supporting senior level managers as an Administrative Assistant
• Post-Secondary certificate or diploma in a relevant field or equivalent combination of education and experience preferred
• Intermediate to advanced skills with email, MSWord, MS Excel, publishing software and Internet navigation/research
• Excellent customer service skills including a demonstrated ability to be friendly, efficient, polite and patient
• Excellent written and verbal English communication and editing skills
• Professional, confident and respectful approach to building relationships
• Ability to maintain confidentiality and deal with sensitive matters with tact and discretion
• Ability to work independently and as part of a team
• Typing speed of 45 words per minute
• Familiarity with standard office equipment
• Detail oriented
• Aptitude with creating and editing business correspondence
• Strong organizational skills with the ability to multi-task, problem solve and prioritize
• Ability to work flexible hours and work reasonable overtime as required
