Reports To Office Manager
Job Overview
Present a professional front line experience for client interaction and effectively manage daily administrative tasks. The AA ensures all relevant information is maintained within databases and that all necessary communications are maintained. The AA is responsible for the first line management of work orders and related administrative duties such as compiling reports.
Duties and Responsibilities
• Reception (Nortel phone system, answer incoming calls, transfer to relevant staff member).
• Help perform other reception duties (meet and greet) in a courteous and professional manner
• Book all travel and accommodations
• Order, distribute and maintain relevant office / kitchen supplies
• Operate a variety of standard office machines
• Assist accounts department with regular mailings and filings
• Assist HR department with any pertinent admin
• File data and perform other routine clerical tasks as assigned / as required.
• Receive process and dispatch chargeable / non chargeable work orders.
• Prioritizing work order time sensitivity / urgency and requesting extensions if required.
• Liaise with clients directly and or client call centers with respect to work order scheduling and completion of same.
• Tracking work orders through in house software system and generating weekly reports.
• Weekly compilation & filing of work orders
• Book extra services / scheduling Invoice verification for sub chargeables (monthly).
• Day porter tracking.
Qualifications
• Works well with others, able to work as part of a team
• Strong customer service skills, comfortable interacting with the general public
• Fluent in English, spoken and written
• Proficient in Microsoft Office Suite
• 1-5 years' experience in similar role
• Ability to speak second language an asset
