Job Summary: The Manager, Back of House leads, manages and oversees the back of house department and all conference venue build out logistics, design, visuals, floorplans, and spacial elements for the TED Conferences produced in the USA and Europe.
Areas of supervision within BOH department include:
Lead venue site inspections
Detail spatial constraints and outline potential room/area allocations for conference meetings, social and event spaces
Oversee and manage the design associates handling design concepts, floorplans, 2D/3D renders, and mood boards
Manage build-out budget and post-conference budget reconciliation
Manage RFPs for vendors (furniture, technology, tenting, A/V, venues)
Manage build-out vendors, handle quotes, contracts and negotiations
Oversee management of warehousing, shipping and signage
Main liaison with conference venue(s) for all build-out elements, including room/space allocations, power requirements, load in/out schedules
Coordinate conference requirements for IT, internet, electrical, power
Oversee research of future venues
Manage appropriate venue & vendor insurance coverage
Develop risk assessment plans, including safety & security of installation and tear downs
Manage for accurate and precise organization, documentation and filing of all venue build-out components
Develop and manage critical paths, timelines and production schedules
Supervise load-in/load-out crews, vendors, sponsor activations
Create and maintain BOH department policies and procedures
Supervisory Responsibilities:
Manage, lead and motivate team of 3-5 staff, including:
Supervising and managing back of house team
Daily & weekly check-ins
Handling team performance reviews
Managing team time off requests (sick days, lieu, absent, vacation requests)
Manage team workload; divide and delegate workload and tasks
Keep team motivated, productive and working efficiently
Ensure team contributes to and adheres to company and department policies and procedures
Qualifications and Experience:
Minimum 5 years experience working in corporate events, conferences, trade shows or festivals
Minimum 2 years managing support staff
General knowledge of production elements of events/conference management
Experience handling site inspections
Working knowledge: AutoCAD and/or Vectorworks
Proficient MS Office Suite, Macs, Advanced Excel
Diploma, Certificate or Bachelor's degree in related field (Events, Theatre, Interior Design)
Skills and Abilities:
Experience managing logistical aspects for corporate events/conferences/trade shows
Strong project management, administration, organizing and planning skills
Has a vision for venue and spatial design
Thinks big picture, asks the right questions and foresees problem/challenges
Devises and implements well thought-out, logical solutions and back up plans
Capable of managing large amounts of information, keeping well-organized and documented files and paper trail
Proven supervisory and management skills
Able to lead & manage teams and keep team on track and accountable
Polished and professional presentation, written and communication skills
Able to work well under pressure, tight deadlines and on multiple projects simultaneously
Strong team player, positive attitude, self motivated, detail oriented
Able to work long hours pre/during conferences and able to stand on feet for extended hours
Able to travel for work minimum three times per year for up to 10-12 days at a time
Able to do hands-on light physical work onsite
Must have valid passport and valid Canadian work permit
