Client Service Coordinator (Vancouver)

an Insurance /Employee Benefits Broker, located in the downtown core is looking for a Client Service Coordinator to join their growing team. This is a customer support function focussed on assisting with and complementing new business development activities. In this role you will support our client’s Sales Agents by providing proactive client services to ensure complete client satisfaction.
Duties and Responsibilities will include the following :
•Plan Reviews
•Reviews current/prospect employee benefit plans.
•Analyzes plan designs.
•Prepares client reports including recommendations for competitive coverage.
•Market Surveys
•Gathers employee census information.
•Prepares specifications for market survey.
•Sends market survey to insurance carriers with deadline for submission.
•Follows up on status of any outstanding submissions from carriers.
•Prepares analysis spreadsheet and clarifies any information with carriers if necessary.
•Prepares report for client/prospect including results of market survey and recommendations.
NEW GROUP PLAN IMPLEMENTATION
•Meets with plan administrator of new group with implementation documents for signature – Master Application, Enrolments, etc.
•Prepares Employee Benefit Bulletin for plan administrator to distribute to staff to advise them of new benefit program.
•Follow up with plan administrator on outstanding documents.
•Submit completed implementation documents to insurance carrier for processing.
•Follow up with carrier on contracts, booklets and deliver to client.
•Reviews new carrier administration procedures.
NEW ADMINISTRATOR – PROCEDURE REVIEW
•Meets new plan administrator.
•Reviews administration procedures for group plan.
•Delivers any supplies needed.
•Requests new administration kits from carrier if necessary.
EMPLOYEE MEETINGS
•Accompany Agent to employee meetings. (this accounts for 5- 10% of the total time worked)
•Answers questions the employees have about their new plan, procedures, coverages, how to claim, etc.
•Provides plan administrator with any information requested by employees.
SPECIAL PROJECTS
•Assists in preparation of unique reports.
•Assembles client information/statistics.
•Analysis of reserves, etc.
CLIENT SERVICE
•Assists with Administrative Inquiries – contract questions, coverage questions, etc.
•Performs follow-ups.
•Assists with claim inquiries – medical, dental, disability.
•Liaises with the insurance carriers on the clients’ behalf.
•Client contact.
•Maintains current client records.
•Assists Account Manager and Technical Assistant with work overload, when away on vacation, etc.
The Ideal Candidate with have the following skills and attributes:
•Strong group benefit and insurance background (preferably in a brokerage environment.)
•3 – 5 years experience in a similar role and/or extensive benefits administration experience
•CEBS courses an asset.
•Excellent follow-up and problem solving skills.
•Strong organization and time management skills.
•Good interpersonal skills.
•Excellent written and verbal communication skills.
•Solid skills in Outlook, Word, Excel, Maximizer, PowerPoint, and performing Internet research.
•Flexibility and adaptability with the ability to multi-task and prioritize.
•Enjoys a fast paced challenging environment.
•Team player who is also able to work independently.
•Ability to work well with others throughout the organization.
•Attention to detail and accuracy.
This position will offer compensation in the range of $40,000- $45,000, commensurate with experience, three weeks vacation and benefits.
