Administrative Assistant (Downtown Vancouver)

POSITION PURPOSE:
We are currently looking for an exceptional Administrative Assistant to join our team. Located at our downtown Vancouver office, this position will be filled by someone that is highly organized, motivated, works independently and carries themselves in a professional manner. This person will plan, direct, and coordinate supportive services of the organization, such as recordkeeping, mail distribution, telephone operator/receptionist, and other office support services. The person responsible will provide efficient and professional administrative support to the office and help maintain the day to day operations of the business.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
•Responsible for receiving and assisting guests, answering operator and front desk calls.
•Receive and sign for courier and delivery items; arrange for outgoing items.
•Ensure security of the office by allowing entrance of authorized vendors.
•Order and maintain office supplies.
•Organize and maintain filing, mail distribution, and outgoing/incoming faxes.
•Order and coordinate payment of weekly lunches; coordinate special staff events.
•Provide support to Finance with bookkeeping responsibilities as required. Responsibilities may include payables, receivables, report preparation, and reconciliations.
•Provide support to other internal departments as required.
•Attend to daily bank deposits, pick-ups and other errands as required.
•Maintain office and kitchen supply stock. Ensure kitchen is tidy and in sufficient order.
•Assist in maintenance of local intranet.
•Maintain and update employee directory, phone lists, floor plans, and organizational charts.
•Track office expenses and invoices for approval.
•Maintain vendor relationships for the office.
•Communicate notices to staff as required.
•Communicate with property managers regarding building notices and maintenance services.
•Other duties as assigned.
DESIRED MINIMUM QUALIFICATIONS:
•3-5 years of experience in an assistance and support position in an office environment.
•Minimum of 1 year experience related to accounting or bookkeeping duties.
•Diploma in business administration, or an acceptable combination of education and progressive work experience.
•Excellent organizational, time management and prioritization skills including the ability to multi-task with competing priorities.
•Excellent understanding of business professionalism and the ability to work effectively under pressure within a fast-pasted team environment.
•Exceptional interpersonal and communication skills (both verbal and written) are required.
•Knowledge of file management and data entry/retrieval systems.
•Advanced knowledge working with Microsoft Office - Word, PowerPoint, Excel, and other office automation equipment.
•Extremely high level of attention to detail and excellent follow-up skills.
