full time Department Assistant (North Delta)

Boys and Girls Club Community Services of Delta/Richmond (BGCCS) requires a part time Department Assistant. Reporting to the Director of Programs, the Child, Youth and Familiy Services the Department Assistant provides administrative support to designated CYF Services programs and is a key member of the CYF Services Team. In addition this position assumes responsibility for the timely collection and collation of data and materials required for contracts as well as for conformance with CARF standards.

Key Duties and Resonsiblilities:

1. Provides word processing and data entry services, the production of reports and other documentation for related programs.
2. Ensures that organization-wide materials relating to day to day program operations are collected, collated and updated regularly.
3. Works in cooperation with the Administration Team and ensures that copies of required CYF department data are collected and filed with Administration or in the appropriate database
4. Manage the ordering, organizing, tracking and maintenance of designated supplies for CYF programs. Works collaboratively with administration to further the ongoing development of an efficient purchasing system.
5. When requested by the Director of Programs, attends occasional team meetings within CYF in order to share information, consult and communicate with staff in regard to administrative and quality assurance support needs.
6. Assists in the design of forms for producing required statistical data needed for related programs. May work with IT/CIMS staff to create CIMS formats for new and developing programs.
7. Gathers bi-weekly time sheets and expenses sheets for CYFS programs staff, submits information to the Director of Programs and keeps track of CYFS staff hours, vacation, sick leave, professional development hours and personal leave.
8. Keeps up to date information on CYF programs as well as other related community programs and services.

Qualifications:

1. A diploma or certificate with further education and training in administrative office procedures, program evaluation and data collection for statistical purposes.
2. At least two years of experience in a similar role within a complex social services environment.
3. Demonstrated ability to operate a variety of office equipment, machines and computer software to generate and exchange information including the use of databases and spread sheets.
4. Knowledge of community programs and services as related to services for Children, Youth and Families.
5. Excellent verbal and written English skills. A second language is an asset.
6. Must have above average communication and interpersonal skills with the ability to manage situations where staff and coordinators from various programs are requesting assistance. Must maintain strong boundaries and handle confidential information with tact and professionalism
7. Proven organizational skills with the ability to prioritize and manage multiple tasks.
8. Working Knowledge of CARF standards as they apply to CYF programs.
9. Ability to work independently and within a team environment. Must work well with others.
